What does route optimisation software actually do for a UK fleet?

Most fleets that buy route optimisation are sold on one number: miles saved. It's a fair number to care about. But if you've ever watched a perfect plan fall apart by 10am, you'll know miles on paper aren't the whole story.

A plan meets traffic, a sick driver, a customer who isn't in and an order that turns up late. What happens next decides whether the software pays for itself. Here's what each part of a modern route optimisation system does, and why it matters.

What are the benefits of route optimisation?

Route optimisation works out the best way to cover every drop with the vehicles and drivers you have. It looks across the whole fleet at once, balancing time windows, vehicle capacity, driver hours, access restrictions and territories. A planner with a spreadsheet can't hold all of that in their head, however good they are.

The benefits are the ones you'd expect: fewer vehicles on the road, fewer miles, less fuel, lower emissions and more drops per route. The less obvious one is time. Planning that takes a team half a day can take minutes, which leaves room for later order cut-offs and better decisions.

We don't quote a generic savings figure, because the honest answer depends on where you start. A fleet planning on a whiteboard has more to gain than one already running a decent system. That's why ProprPlan results are measured against your own baseline.

Why does dispatch matter once routes are planned?

Because no plan survives the day unchanged. Dispatch is where planners see every vehicle against its plan in real time, and act before a small problem becomes a missed delivery.

With live route management, a late-running van shows up while there's still time to fix it. A cancelled order can be pulled, an urgent one slotted in, and a drop moved to the driver who's nearest. The planner makes the call with the facts in front of them, instead of finding out from an angry customer at 4pm.

The benefit is control. Your team stops firefighting by phone and starts managing the day. That's what ProprDispatch is for.

What does a driver app add?

It makes sure the plan actually gets driven. A driver app puts the route, the stop order, delivery notes and customer instructions in the driver's hand, and sends what happens back to the office as it happens.

Proof of delivery is the obvious win. Signatures, photos, timestamps and reasons for failed drops are captured at the door, not on paper that comes back days later. Disputes get settled in minutes, and invoicing doesn't wait for a clipboard.

There's a quieter benefit too. When drivers can see that the route makes sense, they follow it. When they're sent on a plan that ignores how the road really works, they don't, and every saving disappears. ProprExecute is built for drivers as much as for the office.

How do live delivery updates help your customers?

They remove the single most common question in logistics: where's my delivery? People now expect to watch a taxi or a takeaway come down the road. They expect the same from a sofa, a pallet of stock or a restaurant's weekly order.

Live customer updates in ProprExecute send a realistic delivery window, keep it current as the day changes, and let the customer track the vehicle as it gets close. When something slips, they hear from you before they have to chase.

The benefits stack up quickly. Fewer "where is it?" calls tie up your office. More customers are in when you arrive, so fewer failed deliveries and second attempts. And for furniture home delivery, a two-person crew arriving to a customer who's ready is the difference between a profitable drop and a wasted one.

What can AI insights tell you that reports can't?

They tell you why, not just what. A traditional report shows that yesterday's routes ran late. AI-driven insights look across planned and actual data to find the pattern behind it: the customer whose site always takes twice as long, the time window that's never achievable, the depot where plans are routinely rewritten.

That turns reporting from a backwards look into a to-do list. You fix service times, renegotiate windows that don't work and spot which changes actually moved cost per drop. ProprInsights is there to answer the questions you'd ask if you had time to dig through the data yourself.

To be clear about what AI does here: it surfaces patterns and suggestions. Your team still decides what to change.

Why does it matter that it's one system?

Because every handover between separate tools is a place where information gets lost. When the plan, the live picture, the driver's screen, the customer's update and the report all come from the same data, each part makes the others better.

Who is ProprTMS for?

It's built for UK fleets of all sizes, particularly in food and beverage, distribution and furniture home delivery. It suits two kinds of operation best:

  • Fleets planning manually today, on paper, whiteboards or spreadsheets, who want to see what joined-up planning and delivery can do.
  • Fleets that bought a system years ago and only ever used part of it, or never got the results they were promised.

You choose the modules you need and pay per vehicle per month. See the ProprTMS overview, or read how Propr Start works.

Frequently asked questions

Do I need all five parts to see a benefit?

No. You choose the modules you need. Most fleets see the biggest gains when planning, dispatch and the driver app work together, because that's how the plan reaches the road.

Will it work with my existing systems?

Yes. ProprTMS integrates with the systems you already use, such as your order management or ERP system. That integration is the first job in Propr Start.

What savings should I expect?

That depends on your starting point, so we don't quote a generic figure. During Propr Start, results are measured against your own baseline.

Will my drivers actually use the app?

That's the right question to ask of any system. ProprExecute is designed around the driver's day, and drivers follow routes that make sense on the road.

Can I try it before committing?

Yes. Propr Start is a 3-month agreement with full functionality in your live operation. If it proves its value, you agree longer-term terms. If not, there's no 36-month contract to unwind.
